Org management, personnel administration, time and payroll, and the cloud move to SuccessFactors. Everything HCM panels ask, with a scored test at the end.

Org ManagementInfotypesPayrollTimeSuccessFactors

SAP Human Capital Management (HCM), still called SAP HR, manages the employee lifecycle: Hire-to-Retire. Today most projects combine on-premise HCM (especially payroll and time) with SAP SuccessFactors in the cloud, so interviewers test both the classic infotype world and the cloud integration story.

What is SAP HCM?

Core SAP HCM components:

  • Organizational Management (OM): org units, positions, jobs and reporting lines (objects O, S, C, P with relationships).
  • Personnel Administration (PA): employee master data stored in infotypes, maintained through personnel actions.
  • Time Management: work schedules, absences, attendances, quotas and time evaluation.
  • Payroll: gross-to-net calculation with schemas, rules and wage types, including country-specific statutory deductions.
  • Talent (now SuccessFactors): recruiting, onboarding, performance and goals, learning, compensation and succession.

SAP SuccessFactors Employee Central (EC) is the cloud core HR system of record. Employee Central Payroll (ECP) is SAP’s payroll engine, run by SAP in the cloud.

End-to-end process: Hire-to-Retire

Explain the employee lifecycle step by step and point out which system (on-premise HCM or SuccessFactors) owns each step in a hybrid landscape.

  1. Plan org & positions PPOME Β· O / S / C
Create org units, positions and jobs with reporting relationships. Vacant positions trigger hiring demand.
  2. Recruit SF Recruiting
A job requisition is approved and posted. Candidates apply, are screened and interviewed, and an offer is made.
  3. Hire employee PA40 Β· Hiring action
The hiring action creates infotypes 0000, 0001, 0002, 0006, 0007, 0008 and 0009. In EC, the hire wizard creates the employee record.
  4. Onboard SF Onboarding
New hire paperwork, equipment, buddy and compliance tasks. Data is replicated to payroll and IT systems.
  5. Record time PA61 / CAT2 / ESS
Absences, attendances and timesheets are recorded through infotypes, CATS or self-service apps with approval workflow.
  6. Evaluate time PT60 Β· Schema TM00
Time evaluation compares actual and planned time, generates overtime and time wage types, and updates quotas.
  7. Run payroll PA03 Β· PC00_M40_CALC
Release the control record, simulate, run the live payroll, check results, then exit the control record.
  8. Post to FI & pay PC00_M99_CIPE Β· DME
Payroll results post to G/L accounts by symbolic account. Bank transfer files pay employees.
  9. Statutory & tax PF Β· ESI Β· PT Β· TDS
Country legal reporting. For India this covers PF, ESI, professional tax, TDS, Form 16 and Form 24Q.
  10. Performance & goals SF PM / GM
Goal setting, continuous feedback, appraisals and calibration feed compensation decisions.
  11. Learn, pay & grow SF LMS Β· Comp Β· Succession
Learning plans, merit and bonus cycles, promotions and succession planning are handled as personnel actions.
  12. Separate & settle Leaving action Β· F&F
The termination action delimits records. Final payroll computes full-and-final settlement, leave encashment and gratuity.

Organizational structure & master data

SAP HCM org structure and master data

Organizational structure

Company code

The legal entity, from FI.

Personnel area

A location or business unit within a company code, used for reporting and authorisations.

Personnel subarea

What changed in S/4HANA

  • On S/4HANA you can keep classic HCM only under the compatibility pack (with limited use rights) or move to SAP HCM for S/4HANA (H4S4), an on-premise successor with a long support horizon. Check the current SAP roadmap for exact dates.
  • The strategic cloud direction is SAP SuccessFactors Employee Central, often with Employee Central Payroll.
  • Hybrid models are common: EC as the system of record with employee data replicated to S/4HANA (as Business Partner) and to payroll through point-to-point replication or SAP Integration Suite.
  • Employees must exist as Business Partners in S/4HANA for travel, procurement and finance processes. The BP synchronisation (employee role) handles this.
  • Fiori apps and SAP Work Zone replace ESS/MSS on Portal.

Integration points

WithHow it integrates
FIPayroll posts expenses and liabilities by symbolic account and wage type through posting runs (PC00_M99_CIPE).
COCost centres on IT0001 / IT0027 drive cost distribution. Activity allocation through CATS.
PS / PMCATS timesheets transfer hours to WBS elements, network activities and maintenance orders.
SuccessFactorsEC to ECP or on-premise payroll replication, org data sync, and talent data into the master record.
Travel ManagementEmployee master and bank details for expense reimbursement.
Identity & ITHire and leave events drive user provisioning through Identity Authentication and Identity Provisioning.

Interview questions & answers

Tap a question to see a model answer. They are grouped from fundamentals to scenario-based questions that senior panels love.

🟒 Fundamentals

What is an infotype? Give examples. Beginner
A unit of related employee data with a validity period, identified by a four-digit number. Examples: 0000 Actions, 0001 Organizational Assignment, 0002 Personal Data, 0006 Addresses, 0007 Planned Working Time, 0008 Basic Pay, 0009 Bank Details, 2001 Absences. Ranges: 0000–0999 PA, 1000–1999 OM, 2000–2999 Time, 9000–9999 customer.
Explain the enterprise structure and personnel structure in HCM. Beginner
Enterprise structure: client, company code, personnel area, personnel subarea. Personnel structure: employee group, employee subgroup, payroll area. Together they drive groupings for time, payroll, pay scale and authorisations.
What are the OM objects and relationships? Beginner
Org unit (O), position (S), job (C), person (P) and cost centre (K). Typical relationships: A002 “reports to” between org units, A003 “belongs to” between a position and an org unit, B007 “is described by” between a position and a job, A008 “holder” between a position and a person, and A012 “manages”.
What is a personnel action? Beginner
A configured sequence of infotype screens (an info group) for an HR event such as hiring, promotion, transfer or leaving. It records the event in IT0000 with an action type and reason, and updates the employment status.
What is a payroll control record? Beginner
The PA03 record per payroll area that controls the payroll period and status: released for payroll, released for correction, exit payroll. It locks master data changes for past periods during the run.
Difference between primary and secondary wage types? Beginner
Primary wage types are entered in infotypes (such as basic pay or allowances). Secondary wage types are generated by payroll (prefixed with /, for example /101 total gross, /559 bank transfer).

🟑 Intermediate

Explain the steps of a payroll run. Intermediate
Check master data and the control record. Release payroll (PA03). Run a simulation and correct errors. Run live payroll (PC00_M40_CALC). Check results and the payroll log. Exit payroll. Then post to FI (posting run), create bank transfers and payslips, and run statutory reports.
What is retro accounting? Intermediate
When master data changes for a past, already-processed period (such as a backdated increment), payroll automatically recalculates the earlier periods and carries the differences into the current period. The earliest retro date is controlled in IT0003 Payroll Status.
What are schemas and PCRs? Intermediate
A schema is the sequence of functions that payroll or time evaluation executes (such as IN00 for India payroll or TM00 for time evaluation). A personnel calculation rule (PCR) is logic inside the schema that processes wage types based on conditions such as employee subgroup grouping. Schemas are edited in PE01 and PCRs in PE02.
Explain time evaluation. Intermediate
Time evaluation (PT60, schema TM00 for positive time or TM04 for negative time) compares recorded time with the planned work schedule, generates overtime and time wage types, updates time accounts and quotas, and passes results to payroll.
What are the main India statutory components in SAP payroll? Intermediate
Provident Fund and pension (IT0587), ESI, professional tax and labour welfare fund (IT0588), income tax with declarations (IT0580–IT0586), Form 16, quarterly e-TDS (Form 24Q), gratuity and leave encashment at exit, plus bonus as applicable.
What is Employee Central and how is it different from SAP HCM PA? Intermediate
EC is the cloud core HR system in SuccessFactors, with configurable data models (Corporate, Succession, Country-specific) instead of infotypes, MDF objects, business rules and workflows. It is updated by SAP quarterly. SAP HCM PA is on-premise, infotype-based and heavily customisable.

πŸ”΄ Scenario & design

How would you design a hybrid EC + on-premise payroll landscape? Scenario
EC is the system of record. Employee and org data are replicated to SAP payroll (ECP or on-premise) through point-to-point replication or SAP Integration Suite, with value mapping for picklists and wage types. Time data comes from EC Time Tracking or a third-party system. Payroll posting goes to S/4HANA FI, and employees are synced to S/4HANA as Business Partners.
An employee did not receive a backdated increment. How do you investigate? Scenario
Check IT0008 dates and amounts, IT0003 earliest retro date, whether payroll was run after the change, retro results in PC_PAYRESULT, and wage type processing classes for retro relevance. Then check the payroll log for that period.
Payroll posting to FI fails. What do you check? Scenario
The posting run error log: missing symbolic account to G/L mapping, wage types without posting attributes (processing class 20), closed FI periods, invalid cost centres from IT0001 or IT0027, and the balance check. Correct the issues and re-create the posting run.
How do you handle full-and-final settlement for a resigning employee in India? Scenario
Run the leaving action (delimit records), maintain the last working day, notice period recovery, leave encashment and gratuity wage types, and run the final payroll (off-cycle if needed) with tax computation. Issue the relieving letter and Form 16, and settle PF withdrawal or transfer outside payroll.
A client on ECC HCM asks what to do in an S/4HANA move. What do you advise? Scenario
Assess three options: (1) move core HR to SuccessFactors EC with ECP (the cloud strategy), (2) move to SAP HCM for S/4HANA on-premise if payroll complexity or data residency requires it, or (3) a hybrid approach. Consider the support horizon, compatibility pack limits, country payroll coverage, integration effort, and change management.
How would you set up leave quota generation? Scenario
Define absence types and quota types (IT2006), quota selection rules by grouping, base entitlement, accrual and reduction rules, deduction rules linking absences to quotas, and run quota generation through time evaluation or RPTQTA00. Test proration for joiners and leavers.
How would you secure HR data? Scenario
Structural authorisations (org-based access), PA authorisation objects (P_ORGIN, P_PERNR) by infotype and subtype, context-sensitive authorisations, field-level masking for sensitive data, role-based permissions in SuccessFactors, and data privacy (retention and deletion) compliance.

Solution architect view

Key HCM architecture decisions:

  • Target model: SuccessFactors cloud, SAP HCM for S/4HANA on-premise, or hybrid. Decide system of record, payroll location and the support horizon.
  • Global template: a single global data model with country extensions for legal fields and statutory processes.
  • Structures: personnel areas and subareas, employee groups and subgroups, and payroll areas, designed for reporting and authorisation needs.
  • Integration: EC to payroll, EC to S/4HANA (BP and cost centres), identity provisioning, time systems and benefits vendors through SAP Integration Suite.
  • Payroll: country coverage, retro strategy, posting design and parallel runs before go-live.
  • Privacy: GDPR and India DPDP Act compliance, data residency, masking and retention.

Typical deliverables: HR solution blueprint, data model and picklist workbook, integration catalogue, payroll configuration and parallel-run reconciliation plan, and the role and permission design.
